Electronic I-9 New Hires - Section 2 Centralization

Welcome to Harvard University

Federal law and Harvard University require all employees to complete the I-9 Employment Eligibility Verification Form (Section 1) after you are hired, but before your first day of work.  On or before your first day of work you must present it online (via zoom) or bring in certain original unexpired documentation to complete Section 2.

Harvard is also an E-Verify employer. Harvard uses Equifax, a secure, online tool as part of the Form I-9 and E-Verify process.

Please complete the following steps before your first day of work:

Step 2 JOIN AVAILABLE ZOOM SESSION OR SCHEDULE AN IN-PERSON APPOINTMENT (OR COME DURING DROP-IN HOURS) TO COMPLETE SECTION 2

REMOTE COMPLETION (via ZOOM)

After you have completed Section 1, join one of our available zoom sessions Monday- Friday to complete Section 2 of the I-9 form. Please join the Zoom session using your full legal name.

 

APPOINTMENT OR ATTEND A DROP-IN HOUR


After you have completed Section 1, set up an in-person appointment or attend a drop-in hour at one of our I-9 Centers listed below. Please reschedule your appointment if you are feeling ill.

To set up an in-person appointment to complete Section 2, refer to the link below. If you don’t see any appointment time that will work for you or if you have accessibility concerns and want to request reasonable accommodations, please contact i9help@harvard.edu and we will do our best to accommodate you.

We also offer drop-in hours at Smith Campus Center, room 835 as an alternative to scheduling a formal appointment. New employees have the option of bringing their original and unexpired Section 2 documents during drop-in hours.

What to bring to your appointment:

To complete Section 2 of Form I-9, ORIGINAL and unexpired documentation that establishes your identity and employment eligibility must be reviewed by a Harvard I-9 representative. Before joining Zoom session or coming to the appointment, please review List of Acceptable I-9 documents.

 

If you opted to complete I-9 remotely (via zoom), here are the tips for uploading the documents:

  • U.S. Passport/Passport Card: Upload both the photo (bio) page and the last page of the passport booklet with the barcode.
  • Foreign Passport: Upload the photo (bio) page twice
  • Driver's License/State ID: Upload both the front and back of the document.
  • Green Card: Upload both the front and back of the document.
  • SSN Card: Upload the first page twice
  • Birth Certificate: Upload the first page twice
  • School ID: Upload the first page twice
  • I-20 Upload both the first page, and the second page of your I-20 document. Please make sure I-20 uploaded is signed and dated.
  • DS-2019: Upload the first page twice. Please make sure DS-2019 uploaded is signed and dated.
  • EAD (Employment Authorization Document): Upload both the front and back of your EAD card.
  • I-797 (Notice of Action): Upload both the first and second page of your I-797 approval notice.
  • I-94: Upload first page twice. This is the only document that doesn’t have to be shown on camera.

 

To complete Section 2 of the Form I-9, you will present the (physical) originals of the documents you uploaded during a video call or during your in-person appointment with a Harvard Representative.

  • For remote reviews - You must appear on video and be able to hold the documents up to the camera for review.
  • All documents must be original and unexpired photocopies/pictures will not be accepted.
